About the role

  • Coordinate insurance documentation and ensure accurate record-keeping for trucking and logistics operations.
  • Request, review, and track insurance certificates and related documents from clients, vendors, and partners.
  • Maintain up-to-date insurance records within CRM and compliance databases, ensuring accuracy and completeness.
  • Monitor expiration dates and proactively reach out to stakeholders for renewals or updates.
  • Communicate professionally with all parties to resolve documentation issues and clarify insurance requirements.
  • Collaborate with other departments to support onboarding, compliance checks, and risk management processes.
  • Prepare reports on insurance status and compliance for leadership review.
  • Handle sensitive information confidentially according to legal and company guidelines.

Requirements

  • 1-2 years of experience in insurance coordination, compliance administration, or a related office environment.
  • Familiarity with insurance requirements in the trucking or logistics industry preferred.
  • Experience using CRM or document management software (e.g., Salesforce, HubSpot) is an advantage.
  • Excellent organizational skills and high attention to detail.
  • Strong written and verbal communication abilities.
  • Proactive problem-solving approach with a focus on timely follow-up and resolution.
  • Ability to multitask and prioritize tasks to meet deadlines in a dynamic environment.
  • Proficiency in using MS Office Suite (Word, Excel, Outlook).
  • High school diploma or equivalent required.
  • Additional training or certification in insurance, compliance, or office administration is a plus.
