About the role

Key responsibilities & impact
  • You oversee our offices in Paris, London, and Barcelona, with your scope expanding as Spendesk grows.
  • Oversee day-to-day operations across all sites: logistics, safety, vendors, leases, and relocations.
  • Own and manage workplace budgets with both rigor and creativity.
  • Turn each space into a living reflection of our culture, from meeting room names to badges, décor, and layout.
  • Manage office access and ensure smooth daily hospitality for everyone on site.
  • Track office occupancy data and design initiatives to maximize space utilization.
  • Design and deliver the moments that make people proud to work here: hackathons, summer & winter parties, monthly brunches, themed after-work events, wellness activities, and more.
  • Coordinate with external vendors and internal stakeholders to scale events across France, the UK, Spain, and beyond.
  • Own the annual events calendar and budget, from high-level planning to final execution.
  • Pilot all-hands meetings and team events with flawless execution.
  • Drive internal communications to build visibility and excitement around every initiative.
  • Orchestrate all operational aspects: invitations, Slack channels, calendar setup, and office tours.
  • Welcome new joiners in Paris and coordinate seamlessly with London and Barcelona.
  • Manage the new joiners channel to ensure no one falls through the cracks.
  • Run and analyze onboarding surveys to continuously improve the experience.

Requirements

What you’ll need
  • Fluent in French and English (written and spoken) — you use both languages daily.
  • 4+ years of experience in a fast-growing startup or scale-up environment.
  • Proven track record in multi-site office management across countries and cultures.
  • Strong ownership and autonomy — you don’t wait to be told; you make things happen.
  • Data-savvy — comfortable tracking occupancy, analyzing surveys, and using tools and AI to improve the workplace experience.
  • Excellent stakeholder management — you align diverse teams with ease.
  • Resilient and adaptable — last-minute changes and shifting priorities energize you rather than throw you off.
  • Warm, dynamic, and naturally sociable — people are drawn to you.
  • Firm when needed — you hold your ground with vendors, respect budgets, and follow through.
