About the role
- Provide comprehensive administrative support to multiple senior Finance leaders.
- Manage complex calendars, proactively resolving conflicts and coordinating leadership-level and cross-functional meetings.
- Serve as a liaison with internal stakeholders, external auditors, vendors, and executive assistants across the organization.
- Plan and coordinate large-scale meetings, including visitor logistics, room setup, catering, and onsite support.
- Organize annual Enterprise Risk Management Committee meetings and leadership-level risk assessment sessions.
- Support Finance engagement initiatives, team events, and periodic lunch/holiday coordination.
- Arrange domestic travel and logistics through Concur, ensuring accuracy and timely submission.
- Prepare, submit, and reconcile expense reports for supported leaders.
- Monitor travel-related charges and ensure compliance with company policies.
- Prepare, track, and follow up on purchase orders, requisitions, and associated invoices across Finance departments.
- Support goods receipt activities, invoice troubleshooting, and timely approval workflows.
- Manage mailroom coordination, including scanning invoices and supporting check processing.
- Coordinate system and building access for auditors, vendors, outsourced teams, and other non-SOLS personnel.
- Support onboarding logistics for new and transitioning CSW team members.
- Help with presentations, Excel documents, and other Finance-related materials.
- Handle notarization, apostilling, and mailing of official documents as needed.
- Maintain departmental supplies and provide backup coverage for the Lead Administrator during absences.
- Partner with FP&A, Treasury, Tax, and Controllership teams to support ongoing operational needs.
- Coordinate cross-functional meetings, manage day-to-day administrative tasks, and assist with SAP requisition and invoice management.
- Contribute to team culture by supporting engagement initiatives and operational rhythm activities.
Requirements
- Demonstrated ability to work independently with minimal direction.
- Proactive, solution-oriented mindset with strong end-to-end ownership of tasks and processes.
- Excellent collaboration and communication skills, with the ability to partner effectively across teams and levels.
- Experience with SAP and Concur strongly preferred.
- High energy, professional presence, and the ability to interact confidently with executives and external stakeholders while creating a strong first impression.
- Highly organized, with the ability to see the bigger picture, manage multiple priorities, and build strong cross-functional relationships.
