About the role

Key responsibilities & impact
  • Manage the Business Line Director’s calendar, coordinating priorities and optimizing schedules.
  • Arrange business travel and make travel reservations in an international context for the Business Line.
  • Handle the Business Line Director’s expense reports and delegated tasks, such as approving leave, expenses and travel, and telework requests on their behalf.
  • Prepare meetings: collect topics, draft agendas and coordinate the various stakeholders.
  • Track follow-up actions decided in meetings and prompt stakeholders to ensure timely completion.
  • Prepare and format PowerPoint presentations, and collect and consolidate data required for reporting.
  • Support logistical organization of seminars and internal events, while anticipating and managing contingencies.
  • Update the Business Line SPS internal Yello portal, including files and links.
  • Update the Business Line SPS KPIs.

Requirements

What you’ll need
  • Post-secondary diploma (equivalent to Bac +2 to Bac +3) in executive assistance or equivalent.
  • Minimum of 5 years’ experience in administrative support, ideally as an executive assistant.
  • Proven ability to manage complex calendars, organize business travel and follow up meetings.
  • Advanced professional English (C1).
  • Excellent command of Microsoft Office, notably Outlook, Excel and PowerPoint.
