About the role
Key responsibilities & impact- Serve as a key partner to the Chief Business Officer by proactively managing a complex calendar and protecting executive time
- Prepare the executive for meetings, travel, and engagements by anticipating needs and planning details
- Lead domestic and international travel, executive meetings, board engagements, customer events, offsites, and other high-profile engagements
- Own end-to-end logistics for meetings and engagements, including agendas, attendees, venues, technology, materials, run-of-show, and follow-up
- Manage rapidly changing priorities with composure, sound judgment, and attention to detail
- Balance competing requests and determine where executive support creates the greatest impact
- Act as a trusted point of contact for executive leadership, board members, customers, partners, and other stakeholders
- Handle highly confidential information with integrity, maturity, and discretion
- Partner with the Executive Assistant community to share best practices and foster operational excellence
- Identify opportunities to simplify processes, improve workflows, and increase executive-office effectiveness
Requirements
What you’ll need- Bachelor's degree or equivalent professional experience
- 10+ years of experience supporting C-level or senior executives in a fast-paced, global organization
- Experience managing highly complex calendars, international travel, executive communications, and confidential information
- Ability to support executives where priorities change rapidly and flawless execution is expected
- Exceptional anticipation, organization, problem-solving, judgment, discretion, and attention to detail
- Strong relationship-building skills and polished executive presence
- Excellent written and verbal communication skills
- Proficiency in Google Workspace, Slack, Zoom, and other productivity tools
- Strong follow-through, accountability, ownership, resilience, flexibility, and professionalism under pressure
- Hospitality and service mindset
- Preferred: experience supporting a CEO, CBO, or other C-level executive in technology, media, finance, or another fast-paced global organization
- Preferred: experience coordinating executive meetings, board interactions, customer engagements, and international travel
- Preferred: experience mentoring or supporting other Executive Assistants and contributing to operational excellence
