About the role
- Manage communications and calendaring on behalf of Executives, ensuring seamless coordination across multiple domestic and international time zones.
- Serve as a strategic partner to our executives, helping them support their teams and act as a liaison with company leaders, customers, partners, board members, and other teams on behalf of the Executives.
- Plan and coordinate internal and external events and meetings.
- Define, build, and own multiple work processes for yourself, your leaders, and the organization.
- Relieve the Executives from administrative burdens, such as tracking deadlines and managing expense reports, allowing them to focus on strategic initiatives.
- Skillfully handle meeting logistics, create compelling materials, capture key insights, and ensure action items are followed through.
- Exercise sound judgment to make independent decisions within established guidelines.
- Collaborate closely with your leader’s teams and craft polished correspondence and streamline communication.
- Cultivate strong relationships and build trust with executives, executive assistants, and other key internal and external stakeholders, representing leadership with professionalism and integrity.
- Navigate competing priorities with finesse, keeping leadership informed and prepared.
- Conduct thorough research and prioritize requests, adapting to changing needs and delivering exceptional results.
- Organize complex travel arrangements and itineraries, including international travel, ensuring a smooth experience for leadership.
- Support other duties as needed to ensure the effective operation of the Executives and the organization.
Requirements
- 5+ years of relevant experience in an Executive Assistant or similar role, preferably supporting multiple executives in a fast-paced environment.
- Passion for using your skills and experience to improve team culture and effectiveness.
- Technologically savvy with proficiency in G Suite: Gmail, Google Slides, Google Docs, Zoom, and Microsoft Office applications.
- General curiosity in Smartsheet as a tool and eagerness to learn and incorporate it into your daily tasks.
- Exceptional organizational and communication skills, attention to detail, and follow-through.
- Demonstrated ability to work with internal and external stakeholders.
- Ability to manage highly sensitive or confidential situations with integrity and professionalism.
- An ability to handle shifting priorities, frequent changes, and show grace under pressure. This includes the ability to work across all US time zones to ensure seamless coordination and collaboration.
