About the role

  • Serve as the primary intake and coordination point for communications directed to the Executive Director.
  • Manage and maintain the Executive Director’s calendar, scheduling priorities, and preparation requirements.
  • Coordinate executive correspondence, ensuring accuracy, timeliness, and appropriate approval prior to distribution.
  • Prepare executive summaries, briefing materials, and documentation to support informed decision-making.
  • Coordinate board and committee meetings, including agenda development, meeting materials, logistics, and follow-up.
  • Prepare and distribute board packets in accordance with notice and governance requirements.
  • Document meeting outcomes, including decisions, resolutions, and action items.
  • Maintain complete, accurate, and audit-ready governance records.
  • Monitor compliance calendars and regulatory deadlines.
  • Coordinate collection, organization, and submission of required documentation.
  • Track sponsor and regulatory communications and ensure appropriate follow-up.
  • Maintain organized compliance records to support audits and reviews.
  • Execute and monitor standardized executive office workflows using Google Workspace–based systems.
  • Maintain tracking tools, dashboards, and records supporting executive operations.
  • Identify process gaps, risks, or delays and escalate issues as appropriate.
  • Prepare executive briefing materials and escalation summaries.
  • Track executive decisions and ensure timely follow-through.

Requirements

  • Minimum of three (3) years of experience providing administrative or executive-level support to senior leadership.
  • Demonstrated experience in governance-adjacent, compliance-driven, or regulated environments (education, nonprofit, public sector, or similar).
  • Proficiency with Google Workspace tools, including Gmail, Calendar, Docs, Sheets, and Drive.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Demonstrated discretion and ability to handle confidential information.
  • Clear written and verbal communication skills.
  • Ability to work independently within a remote-first environment while maintaining accountability.
