About the role

Key responsibilities & impact
  • Oversee end-to-end workflow across all creative projects.
  • Review and filter incoming briefs to ensure they are complete, clear, and actionable.
  • Identify gaps in scope, missing information, and unrealistic timelines — and proactively resolve them.
  • Manage project timelines, milestones, and deliverables using tools such as Asana, Slack, and Figma.
  • Monitor team capacity and resource allocation to balance workloads effectively.
  • Flag risks early and keep stakeholders aligned on priorities and deadlines.
  • Serve as the central liaison between the creative team, internal and external stakeholders, external agencies, and event partners.
  • Ensure clear communication and expectation-setting across all parties.
  • Chase inputs, approvals, and assets to prevent bottlenecks.
  • Maintain visibility of all active workstreams and provide status updates when required.
  • Help maintain and improve briefing processes, templates, and intake systems.
  • Support the team in adopting new tools and workflows that improve efficiency, including AI-enabled solutions where relevant.
  • Contribute to refining how we work as the team scales globally.

Requirements

What you’ll need
  • 3-5 years of experience in project coordination, traffic management, workflow coordination, or project management within a creative, brand, marketing, or design environment (agency or in-house).
  • Proficiency in project management tools such as Asana (or equivalent), and confidence working across collaboration tools like Slack and Figma.
  • Familiarity with how design and creative teams work. You understand what designers need to do their best work.
  • Exceptional organizational and communication skills.
  • Strong ability to prioritize, problem-solve, and anticipate roadblocks.
  • A proactive mindset and a genuine interest in helping teams work more efficiently.
  • Willingness to work adjusted hours to support collaboration across global time zones (APAC, Europe, Americas).
  • Strong written English is essential.
