About the role
- Schedule meetings and create presentations to support the department
- Collate and mail out tax returns and prepare tax compliance filings
- Generate reports, handle multiple projects, and prepare/monitor invoices and expense reports
- Organize and maintain department files and other confidential data
- Manage and distribute incoming tax department mail and emails to appropriate internal teams
- Scan and upload licensing information to designated software systems
- Assemble and prepare payments for timely mailing and ensure deadlines are met
- Respond to phone calls, verbal requests, and written correspondence professionally
- Resolve or redirect inquiries, escalating as needed
- Oversee contract management process and ensure timely review and approval
- Utilize independent judgment to address departmental issues and make decisions
- Proofread and maintain accurate documentation and follow up on open items
- Organize and manage departmental activities, coordinate special projects, maintain electronic tax calendars, and update the department's store list in Access as required
Requirements
- High School diploma required
- Associate’s degree in general business preferred
- 3-5 years with administrative role with executive support
- High proficiency with Microsoft Office Suite
- Excellent written and verbal skills
- Strong organizational skills
- Ability to handle confidential data and correspondence
- Experience with invoice processing and expense reports
- Experience maintaining electronic calendars and departmental records
