About the role

  • Set up and manage DocuSign templates and signature workflows.
  • Organize, store, and maintain contracts and legal documents across entities and jurisdictions.
  • Manage contract lifecycle intake, including tracking approvals and execution.
  • Ensure timely distribution of updated and executed contracts to stakeholders.
  • Track and maintain contract compliance, obligations, renewal dates, and expirations.
  • Handle incoming and outgoing NDAs, including tracking execution status.
  • Oversee contract renewal and expiration management.
  • Maintain centralized contract records and naming conventions to ensure accessibility and accuracy.
  • Maintain corporate governance files for global entities (certificates, resolutions, filings).
  • Support entity management, including tracking statutory documents and corporate changes.
  • Ensure document repositories remain audit-ready and up to date.
  • Support legal invoicing and spend management.
  • Create, update, and maintain invoice record systems.
  • Track outside counsel invoices and approvals.
  • Assist with planning and budgeting for outside counsel spend.
  • Support Legal OKRs and metrics tracking, including reporting on contract volume, turnaround times, and spend.
  • Provide limited support to compliance workflows, such as organizing documentation and maintaining internal registers.
  • Assist with preparation of materials for audits and internal reporting as needed.
  • Assist with the management, version control, and distribution of internal legal and compliance policies.
  • Work with legal, compliance, operations, and finance teams to ensure timely delivery of documents and information.
  • Communicate clearly across departments and time zones to keep tasks moving.
  • Assist in standardizing documentation templates and improving filing structures.
  • Flag inconsistencies or missing information to maintain accuracy and readiness for regulatory reviews.
  • Support internal onboarding and documentation workflows related to contracts, vendors, and legal processes.

Requirements

  • 1–3 years of experience in legal operations, contract administration, paralegal work, or administrative coordination.
  • Strong interest in legal operations and process management.
  • Experience with contract tracking, document management, or legal tooling is highly valued.
  • Bachelor’s degree preferred; paralegal or legal operations coursework is a plus.
  • Excellent organizational skills and attention to detail.
  • Comfortable managing high volumes of legal documents.
  • Ability to understand and summarize key contract terms.
  • Strong communication and time management skills.
  • Proficiency with document management tools, Notion, spreadsheets, and e-signature platforms.
  • English required.
  • Mandarin, Chinese, or Vietnamese are valuable but not mandatory.
