About the role

Key responsibilities & impact
  • Welcome clients, visitors, vendors, employees, and guests and provide professional assistance
  • Answer, screen, and direct incoming calls
  • Maintain a clean, organized, and welcoming reception area
  • Assist with visitor questions, directions, sign-in processes, and meeting room coordination
  • Provide filing, scanning, document preparation, correspondence, and clerical support
  • Receive, sort, distribute, and prepare incoming and outgoing mail and courier packages
  • Prepare, stamp, and mail cheques for the Accounting department
  • Support shipping and receiving and notify employees of deliveries
  • Restock refrigerators, snacks, coffee, kitchen supplies, and office supplies
  • Monitor and order facility and office supplies and maintain inventory levels
  • Identify office maintenance or cleanliness needs and escalate requests
  • Maintain new-hire package inventory and prepare and send onboarding packages
  • Support HR, recruitment, and office leadership with onboarding, employee communications, and office coordination
  • Coordinate cleaner requests, food orders, vendors, meetings, training sessions, refreshments, room setup, supplies, and cleanup
  • Reconcile the monthly SaskTel Mobility invoice and follow up on discrepancies
  • Assist with accounting-related administrative coordination
  • Track waste, power, and energy consumption for Canadian offices
  • Maintain accurate records, spreadsheets, and supporting reporting documentation

Requirements

What you’ll need
  • High school diploma or equivalent is required
  • Previous experience in a receptionist, front desk, office administrator, customer service, or administrative support role is preferred
  • Strong verbal and written communication skills
  • Professional phone etiquette and a customer-service focused approach
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
  • Strong organizational skills with the ability to manage multiple priorities
  • Ability to maintain confidentiality when handling employee, financial, vendor, or business information
  • Experience with invoice review, office supply ordering, inventory tracking, or general office coordination is considered an asset
  • Strong attention to detail and accuracy
  • Ability to prioritize daily tasks in a busy office environment
  • Dependable, punctual, and organized
  • Comfortable working with internal teams, visitors, vendors, and service providers
  • Willingness to take initiative and support changing office needs
  • Positive attitude and commitment to a respectful workplace
  • Ability to work in Regina, Saskatchewan, in-office
  • Availability for 8:00 a.m. to 4:30 p.m., Monday to Friday, with a 30-minute unpaid lunch break
  • Ability to occasionally lift, carry, or move office supplies, courier packages, kitchen supplies, or onboarding materials
