About the role
- Central point of contact between the CEO/Managing Directors, the organization and day-to-day operations — with a strong focus on efficiency, strategy implementation and operational excellence
- Proactive management of calendars, appointments, email inboxes, contacts, business travel and expenses for the Managing Partners
- Preparation, editing and visual design of presentations, reports and decision papers
- Independent planning, coordination and execution of projects and events at the House of Communication Cologne
- Analysis, optimization and further development of internal processes and structures to increase operational efficiency
- Support for executive management on strategic matters and in decision-making
- Cost monitoring and control, particularly for internal chargebacks
- Close collaboration with teams and leaders, support for personnel development and people-related matters, and fostering an open, trusting corporate culture
Requirements
- Successfully completed commercial vocational training or a university degree
- Extensive professional experience in a comparable role
- Strong knowledge of the agency sector and, ideally, an understanding of how agencies operate
- Outstanding communication skills, independence and a strong service orientation
- Careful, detail-oriented work style combined with strong organizational talent
- Self-motivated and productive working style with the ability to manage multiple projects simultaneously
- High discretion and trustworthiness when handling sensitive information
- Team player, resilient and able to integrate well
- Excellent organizational skills
- Solid MS Office skills
- Good command of English, both written and spoken
