About the role

Key responsibilities & impact
  • Manage area vendors, including registration, monitoring and relationship management
  • Be responsible for issuing and tracking invoices
  • Manage contracts, terms of validity and payment processes
  • Support management and control of the departmental budget
  • Conduct internal audits of recruitment and onboarding processes
  • Keep the vacancies spreadsheet updated with new openings and hires by period
  • Coordinate and schedule onboarding activities, ensuring alignment with teams
  • Control onboarding kit inventory in real time
  • Update weekly spreadsheets of movements and kits not yet sent
  • Manage incoming and outgoing items at the Distribution Center and office
  • Contact suppliers for replenishment and ensure availability for new hires
  • Support logistics and organization of internal and external events
  • Manage participant lists, registrations and invitations
  • Coordinate distribution of giveaways and promotional materials
  • Support execution of institutional campaigns
  • Monitor priority vacancies in alignment with the Talent Acquisition team
  • Ensure vacancies are forwarded for posting on designated channels
  • Monitor posting deadlines and manage attraction campaigns for critical roles
  • Centralize operational demands between Talent Acquisition and Employer Branding teams
  • Ensure alignment of timelines between campaigns and recruitment needs
  • Consolidate information and facilitate periodic meetings between teams
  • Track joint deliverables and agreed deadlines
  • Support promotion of strategic vacancies aligned with employer branding
  • Organize testimonials and an employee content repository for recruitment materials
  • Support employer brand initiatives aimed at talent attraction
  • Contribute to recruitment events, career fairs and entry programs

Requirements

What you’ll need
  • Knowledge of Recruitment and Selection processes
  • Experience managing operational HR processes
  • Experience with administrative control (invoices, contracts, payments)
  • Proficiency in spreadsheet tools (Excel) - intermediate level
  • Basic knowledge of onboarding processes
