About the role

Key responsibilities & impact
  • Provide administrative support for field operations
  • Maintain office records in Workday HR System
  • Process payroll in NOVAtime
  • Implement office-based procedures and policies as directed by management
  • Perform new hire processing, status changes, and separations in the HR system
  • Assist employees with online onboarding, document verification, E-verify, and database submissions
  • Perform general office duties, including scanning, answering phones, filing, copying, and maintaining electronic documentation
  • Obtain authorizations and approvals for paperwork
  • Administer and submit forms related to insurance benefits, FMLA, 401K, and other benefits
  • Balance and submit timesheet recaps to payroll
  • Monitor job-site radio communications and distribute messages
  • Assist with HSE site onboarding and safety orientation
  • Assist the Site Manager and Superintendents with weekly progress reports
  • Enter phase codes and material recaps
  • Support equipment inventory, tracking, and coding
  • Procure office supplies and consumable materials
  • Assist Purchasing with paperwork, delivery tickets, vendor communication, and billing preparation
  • Receive, sort, log, and prepare incoming and outbound deliveries
  • Provide maps and directions to site visitors
  • Work closely with the corporate HR team regarding field employees

Requirements

What you’ll need
  • 2+ years of experience in field clerk/office management in a construction environment
  • Strong teamwork orientation, initiative, communication, problem-solving, and leadership skills
  • Ability to work cross-functionally with departments and team members
  • Ability to travel and report to different field offices within the Permian Basin
  • Per diem eligibility if primary residence is outside 50 miles from the location
  • Detail-oriented ability to organize and handle multiple project tasks
  • Positive professional attitude, confidentiality, and high-level customer service skills
  • Ability to effectively communicate policies and procedures
  • Willingness to work in a construction environment and comply with safety and PPE requirements
  • Proficiency in Excel, Microsoft Office, Outlook, and Word
  • Compliance with project attendance requirements
  • Authorized to work in the United States
  • Ability to meet physical requirements, including lifting up to 50 pounds
