Administrative Assistant – Talent Acquisition

About the role
Key responsibilities & impact- Provide general administrative support to the Recruitment and Selection department, including organizing documents, preparing reports, and maintaining up-to-date files and records;
- Assist in the initial screening of received resumes, recording relevant information in the applicant tracking system (ATS);
- Schedule interviews between candidates and recruiters, ensuring the necessary resources are available for conducting interviews;
- Maintain communication with candidates, providing feedback when applicable and responding to questions related to the process;
- Assist in preparing and collecting documents required for onboarding new employees, ensuring all procedures comply with internal policies and labor legislation;
- Support market research and benchmarking of recruitment and selection practices, contributing to the identification of opportunities for improvement and innovation in processes;
- Assist candidates and respond to requests from departments by phone and in person;
- Send lists of required documents to approved candidates for onboarding via email and messaging;
- Schedule pre-employment medical exams and follow-up appointments for document submission; receive and verify documentation, assembling the complete onboarding package;
- Deliver onboarding documentation to the HR/payroll department;
- Record vacancy closures in the designated report;
- Report any irregularities that occur during the documentation process to management to facilitate problem resolution;
- Provide support to assistants and analysts in the department as needed;
- Perform other duties of a similar nature and level of complexity as requested by the immediate supervisor.
Requirements

- Microsoft Office (Word, Excel, Outlook).
