Administrative Assistant II – Academic Secretariat

About the role
Key responsibilities & impact- Prepare reports and spreadsheets, reviewing data, information, and specific guidelines to support analysis and decision-making, as well as to document work processes;
- Provide guidance, follow up on, and implement enrollment procedures according to the specific requirements of each unit;
- Handle student service processes, answering questions or directing requests to the appropriate department when necessary, and providing feedback to students based on responses from the originating department;
- Advise on and perform administrative tasks such as issuing academic documents; telephone reception; document filing; ordering supplies and photocopying, among others;
- Register and enroll students using institutional software, ensuring correct fields such as areas of study, course content, and other relevant data;
- Register courses using institutional software, recording areas of study, course content, and other pertinent information;
- Register teachers and students in the institutional software in accordance with established rules and procedures;
- Enter credit recognition and student attendance records based on the class register, ensuring information accuracy and compliance;
- Responsible for public-facing, phone, and in-person service, providing information and guidance on administrative processes related to the Academic Secretariat;
- Forward administrative processes to the relevant departments, including Legal and Finance, ensuring operational compliance;
- Perform other related duties of similar complexity as assigned by the immediate supervisor.
Requirements
What you’ll need- High school diploma; pursuing higher education is desirable in fields such as Business Administration, Communications, Marketing, Education/Pedagogy, or related areas, depending on the area of work.
