About the role
- Own and manage core operational workflows supporting Talent Development programs
- Manage enrollment, participant tracking, communications, and documentation across multiple initiatives
- Maintain and update systems related to career paths, learning records, and program tracking
- Support the documentation, version control, and system updates for leveling guides and career path frameworks
- Develop and manage communications templates and standardized assets for program launches and updates
- Ensure operational readiness for program delivery (participant lists, materials, documentation, timelines, meeting rooms and logistics)
- Maintain clear and organized documentation repositories and process guides
- Identify opportunities to streamline operational workflows through automation, AI-enabled tools, and process redesign to improve speed, accuracy, and scalability
- Provide onsite support for in-person learning programs, including setup, logistics coordination, materials preparation, and day-of execution support during delivery
- Support the project management of Talent Development initiatives using tools such as Asana and Slack
- Track deliverables, timelines, and dependencies across stakeholders
- Identify risks, gaps, or delays and proactively escalate or propose solutions
- Coordinate cross-functional efforts between Talent Development, Ops, and business stakeholders
- Contribute to continuous improvement of processes, templates, and operational standards
- Proactively seek ways to reduce manual effort, eliminate redundancies, and increase execution speed while maintaining quality
- Serve as an operational point of contact for participants and internal stakeholders
- Track and support ongoing communications and program updates
- Ensure clarity, professionalism, and consistency across participant touchpoints
- Support internal help channels, triaging requests and ensuring timely resolution or escalation
- Gather feedback and operational insights to improve future experiences
- Maintain accurate participant and program data across systems
- Pull and analyze reports to track enrollment, completion, and engagement metrics
- Support measurement processes and dashboard updates
- Identify trends or operational improvements through data analysis
- Ensure data accuracy and integrity across tools and documentation
- Explore AI-driven reporting, summarization, and analytics tools to accelerate insight generation and improve decision support.
Requirements
- 3+ years of experience in program coordination, operations, talent development/learning, HR, or related field
- Strong organizational skills with the ability to manage multiple concurrent priorities and thrive in a dynamic, fast-paced, and occasionally ambiguous environment
- Experience using project management tools and collaboration platforms
- High attention to detail and strong documentation skills
- Excellent verbal and written communication skills, particularly for stakeholder and participant-facing communication and materials
- Comfortable working with data, spreadsheets, AI and reporting tools
- Strong stakeholder management skills and service-oriented mindset
- Demonstrated growth mindset and desire to expand into broader Talent Development work.
