About the role
- Liaise with Cypress Waters facility management vendors, including cleaning, catering, and security services.
- Coordinate maintenance and repairs of office equipment.
- Restock and re-order supplies for the kitchen.
- Oversee daily office operations and ensure that office processes run smoothly.
- Manage office supplies inventory and place orders as needed.
- Organize and schedule meetings and appointments.
- Manage the scheduling of conference rooms and travel offices.
- Assist in the preparation of regularly scheduled reports.
- Support several C-level executives as an Administrative Assistant.
- Plan in-house or off-site activities, such as meetings, parties, celebrations, conferences and customer visits.
- Manage office budget and expenditures.
- Implement and maintain office procedures and policies.
- Support HR in onboarding and offboarding employees and scheduling on-site interviews.
- Handle office-related inquiries and provide general support to visitors.
- Manage security procedures and assist with visitor and employee badging.
- Ensure office safety and compliance with health and safety regulations.
Requirements
- Bachelor’s degree in business or relevant discipline with 3 - 4 years of experience in a similar role. Experience will be considered in lieu of a degree.
- Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- A creative mind with an ability to suggest improvements.
