About the role
Key responsibilities & impact- Plan, coordinate, and execute events and programs, including K-12 Math & Science initiatives, collegiate competitions, social events, tours, golf outings, technical meetings, and conferences
- Manage event logistics, including contract negotiations, pre-planning, on-site execution, and post-event wrap-up
- Identify opportunities to improve event logistics and competition rules
- Manage logistical changes, anticipate issues, and develop contingency plans
- Prepare meetings, order supplies, and pack and ship event materials
- Coordinate with vendors to ensure event requirements are met on time and within scope
- Build external media relationships and communicate with stakeholders and media contacts
- Write articles, web content, e-blasts, media advisories, and other promotional materials
- Produce timelines, execute project plans, and resolve event-related problems
- Serve as liaison to scholarship selection committees and members
- Lead the Scholarship Committee and select annual scholarship recipients
- Promote the scholarship program through the Section website, e-blasts, and Supercharger publication
- Organize scholarship applications for committee review
- Coordinate candidate review meetings
- Distribute scholarship funds accurately and in compliance with program guidelines
- Coordinate with recipients to direct funds to the appropriate educational institution
Requirements
What you’ll need- Bachelor's degree in Business, Communication, Marketing, or a related field; equivalent professional experience will be considered
- Demonstrated experience in event planning and coordination
- Ability to exercise independent judgment and make sound decisions with minimal supervision
- Excellent written and verbal communication skills
- Excellent planning and organizational skills with strong attention to detail
- Strong proofreading skills
- Proficiency with Microsoft Word, PowerPoint, and Excel
- Ability to interact professionally and proactively with members and volunteers
- Ability to manage multiple projects while meeting deadlines
- Flexibility to adjust priorities to changing deadlines
- Ability to take initiative and work proactively
- Ability to work independently and collaboratively
- Ability to learn quickly, take ownership, and move projects forward
- Excellent customer service and interpersonal skills
- Experience managing volunteers and leading groups preferred
- Prior experience working with executives or senior leadership is a plus
- Ability to remain stationary and operate standard office equipment for prolonged periods
- Ability to move and transport materials and carry up to 25 pounds occasionally
- Ability to perform essential functions with or without reasonable accommodation
- Approximately 20% travel required
- Availability for one to two evenings per month and occasional weekends
