About the role
Key responsibilities & impact- Communicate and work with external customers, subcontractors and tenants
- Coordinate tenant service requests
- Process property invoices regularly for manager approval, including checking math and entering vendor and account code information
- Copy and file invoice documentation
- Process monthly rent statements and submit them to tenants as required
- Assist with planning tenant appreciation events
- Track utility and supply usage weekly/monthly
- Maintain and update Certificates of Insurance for service vendors and tenants
- Assist with lease administration and document storage
- Coordinate vendor access and compliance with building rules
- Perform general administrative duties as required by the team/department
- Assist in the budgeting process
- Train/mentor entry-level Property Assistants
- Support a portfolio of commercial properties administratively
Requirements
What you’ll need- 2+ years of strong administrative experience, with an interest in real estate management
- Minimum two years experience in property management
- Strong organizational skills
- Basic accounting/financial knowledge
- Intermediate to advanced understanding of MS Word and Excel
- Strong knowledge of property management billing and process software
- Strong knowledge of Microsoft Office Suite
- Ability to assist in the budgeting process with good accounting knowledge
- Ability to train/mentor entry-level Property Assistants
- Demonstrated commitment to exceeding internal and external customer expectations
- Strong analytical skills and good mathematical aptitude
- Strong knowledge of property management terminology and processes
- Eligibility to work in the U.S. requires verification of employment authorization
