About the role

  • Provide support to the Business Process Director: Manage calendars and schedule meetings.
  • Provide meeting and training support, including logistics coordination.
  • Arrange travel and prepare expense reports.
  • Update organizational charts as required.
  • Issue communications on behalf of the director.
  • Plan department and staff events (e.g., skip-level meetings, catering arrangements, invitations, and agenda preparation).
  • Create presentations, charts, and other required materials.
  • Support Business Process Leadership Team (LT) and Extended Team: Coordinate and schedule meetings, including logistics for large events.
  • Manage travel bookings and expense reporting for team members, including handling complex expense reports for events with 100+ participants.
  • Organize room reservations and send invites for group meetings/events.
  • Perform general office functions, such as maintaining files, arranging catering, ordering office and IT supplies, and managing correspondence.
  • Assist with the Finance ticketing system administration and backlog maintenance.
  • Audit and maintain SharePoint site links to ensure accuracy.
  • Coordinate onboarding support and asset management for new hires and existing employees (e.g., device upgrades, peripherals, and phones).
  • Respond to questions regarding office operations, policies, and procedures.
  • Handle confidential documents/information and independently manage special assignments.
  • Provide ad hoc support to Business Process Leaders and staff as needed.

Requirements

  • Typically requires Associate’s Degree (AA/AS) (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
  • Prior experience with meeting coordination and logistics.
  • Previous administrative or office support experience, including general administrative tasks.
  • Proficiency with tools such as Concur Travel & Expense Software and Microsoft Office Suite.
  • Aerospace industry experience.
