About the role
Key responsibilities & impact- Prepare and execute standardized, process-driven property-management work across the tenancy lifecycle
- Prepare documents, maintain accurate records, and handle standardized correspondence, registrations, service orders, and forms
- Administer leases from the initial contract through final amendment
- Register tenants with authorities on move-in and deregister them on move-out within statutory deadlines
- Prepare move-ins administratively, including key receipts and required arrangements
- Prepare lease amendments at the request of Property Manager Specialists
- Process defect reports and trigger service orders, including end-of-tenancy cleanings and mailbox-label orders
- Prepare official initial-rent forms required by law
- Maintain partner and representative data in the Room Estate system and correctly assign service partners to communities
- Verify tenant and prospective-tenant identity and solvency documents confidentially
- Process residence confirmations where the standard process applies
- Work independently within standard processes and escalate exceptional matters to the Property Manager, prepared for decision-making
Requirements
What you’ll need- Fluent written English suitable for flawless written administration and internal communication
- Precision and attention to detail
- Process discipline and ability to follow documented processes exactly
- Ability to recognize deviations and escalate rather than improvise
- Ownership and accountability for completing matters and maintaining quality and timeliness
- Self-organisation, reliability, independent structured work, and deadline-driven execution in a remote setting
- Digital fluency with the Room Estate system and standard office tools
- Strong data-quality focus
- Discretion and confidential handling of identity, solvency, and residence data
- German and French are a bonus
- Bonus: background in real-estate administration, such as a Swiss apprenticeship in real-estate management or SVIT courses
- Bonus: basic knowledge of Swiss tenancy law and mandatory tenant registration processes
- Bonus: experience in a back-office or shared-service environment
