About the role

Key responsibilities & impact
  • Ensure the proper functioning of the office infrastructure and administrative operations by managing procurement requests and inventory control, and by contracting and supervising building maintenance services.
  • Handle urgent purchasing requests, and prepare and update administrative controls, tracking spreadsheets, and area performance indicators.
  • Provide operational support to the Mid-level Administrative Analyst responsible for the unit, ensuring service quality, process organization, and compliance with organizational policies and procedures.

Requirements

What you’ll need
  • Bachelor's degree in Administration, Business Management, Management Processes, Logistics, Production/Industrial Engineering, Facilities Management, or related fields.
  • Experience in administrative activities, purchasing, facilities, building infrastructure, or management of outsourced services.
  • Experience in supplier management, purchase requisitions, quotations, and service contracting.
  • Experience in contract control, invoices, payments, and administrative documentation.
  • Experience managing inventory and supplies for office, cleaning, hygiene, and pantry.
  • Experience preparing and updating control spreadsheets, management reports, and operational KPIs.
  • Experience supporting internal users and managing infrastructure and building maintenance requests.
  • Proficient in Microsoft Office, with intermediate to advanced Excel.
  • Preparation and maintenance of tracking spreadsheets and administrative controls.
  • Consolidation and analysis of indicators and preparation of management reports.
  • Basic knowledge of purchasing processes, supplier contracting, and contract management.
  • Knowledge of facilities routines and building administration.
  • Inventory control and management of consumable materials.
  • Oversight of preventive and corrective maintenance services.
  • Knowledge of payment processes, invoice verification, and administrative financial controls.
  • Use of corporate systems for purchase requisitions, contracts, asset management, and administrative controls.
  • Knowledge of document organization, audit, and compliance of administrative processes.
  • Preferred: Specialization or professional development courses in Facilities Management and Corporate Infrastructure.
