About the role

Key responsibilities & impact
  • Serve as the first point of contact for new and existing patients via phone, email, and other communication channels.
  • Complete new patient intake by collecting demographic, medical, insurance, and referral information.
  • Schedule, reschedule, and confirm patient appointments while optimizing provider schedules.
  • Verify insurance eligibility and ensure all required documentation is received prior to appointments.
  • Obtain and upload patient records, referrals, authorizations, and consent forms.
  • Maintain accurate patient records within the Electronic Medical Record (EMR/EHR) system.
  • Coordinate with providers, clinical staff, and patients to ensure a smooth admissions process.
  • Respond professionally to patient inquiries and provide updates regarding appointments and documentation.
  • Follow up with patients to obtain missing information and confirm upcoming appointments.
  • Ensure all patient information is entered accurately while maintaining confidentiality and HIPAA compliance.
  • Assist with administrative tasks and support the healthcare team as needed.

Requirements

What you’ll need
  • Minimum of 2 years' experience in medical administration, patient intake, admissions, scheduling, or a similar healthcare support role.
  • Excellent verbal and written English communication skills.
  • Strong customer service and telephone etiquette.
  • Experience working with EMR/EHR systems.
  • Knowledge of medical terminology and healthcare administration.
  • Experience with insurance verification and referrals is advantageous.
  • Proficient in Microsoft Office (Word, Outlook, Excel).
  • Comfortable working with multiple software platforms and learning new systems quickly.
  • Strong organizational, time management, and multitasking abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently while managing competing priorities in a fast-paced environment.
