About the role
- Manage the full process of assigning new patients to therapists (RBTs/BTs) and BCBAs based on availability, location, and clinical needs.
- Coordinate with clinical supervisors and BCBAs to balance caseloads and ensure providers are meeting billable hour targets.
- Oversee the transition of clients from intake and assessment into active therapy services.
- Monitor therapist availability and assist in optimizing staff utilization and scheduling alignment.
- Maintain accurate client and provider information within company systems.
- Act as the main operational point of contact between intake, scheduling, clinical staff, and leadership.
- Track waitlists and proactively work to place clients into services as soon as possible.
- Identify operational gaps or delays in the placement process and implement improvements.
- Support general office management duties and ensure smooth coordination across departments.
Requirements
- Experience in healthcare administration, ABA services, or behavioral health operations preferred.
- Strong organizational and coordination skills with the ability to manage multiple moving parts.
- Experience working with client scheduling, case coordination, or therapist placement.
- Excellent communication and problem-solving abilities.
- Ability to work collaboratively with clinical teams including BCBAs and therapists.
- Detail-oriented with strong system and administrative skills.
