About the role

  • Manage the full process of assigning new patients to therapists (RBTs/BTs) and BCBAs based on availability, location, and clinical needs.
  • Coordinate with clinical supervisors and BCBAs to balance caseloads and ensure providers are meeting billable hour targets.
  • Oversee the transition of clients from intake and assessment into active therapy services.
  • Monitor therapist availability and assist in optimizing staff utilization and scheduling alignment.
  • Maintain accurate client and provider information within company systems.
  • Act as the main operational point of contact between intake, scheduling, clinical staff, and leadership.
  • Track waitlists and proactively work to place clients into services as soon as possible.
  • Identify operational gaps or delays in the placement process and implement improvements.
  • Support general office management duties and ensure smooth coordination across departments.

Requirements

  • Experience in healthcare administration, ABA services, or behavioral health operations preferred.
  • Strong organizational and coordination skills with the ability to manage multiple moving parts.
  • Experience working with client scheduling, case coordination, or therapist placement.
  • Excellent communication and problem-solving abilities.
  • Ability to work collaboratively with clinical teams including BCBAs and therapists.
  • Detail-oriented with strong system and administrative skills.
