About the role

Key responsibilities & impact
  • Provide administrative and logistical support to keep Resource Generation's operations moving smoothly
  • Manage the Brooklyn office and storage facilities, including shipments and supplies
  • Manage and triage general inquiries via email, physical mail, and Google Voice
  • Direct digital and physical document storage systems and develop related procedures
  • Collaborate on organizational risk management, insurance, and state registration compliance
  • Maintain and update operations-specific policies and practices
  • Research and implement tools and systems to improve workflows and identify cost-saving initiatives
  • Troubleshoot operational issues and support staff across teams
  • Coordinate finance backup tasks, including accounts payable and receivable support, donation processing, and CRM data entry
  • Oversee employee and member access to organizational software and systems, including onboarding and offboarding coordination
  • Manage Google Workspace access, groups, licenses, and shared drives
  • Manage software subscriptions, technology tools, organizational hardware, and website operational needs
  • Collaborate on digital security, staff training, and coordination with the external IT firm
  • Coordinate logistics for annual in-person staff and board retreats
  • Provide administrative support to the Board of Directors, including meeting coordination, document retention, voting records, and board lists
  • Participate in cross-team committees, senior leadership coordination, national programming support, staff meetings, and retreats

Requirements

What you’ll need
  • 3+ years of experience in operations, administration, or project coordination
  • Strong organizational and prioritization skills
  • Strong problem-solving skills and a continuous improvement mindset
  • Experience with project management and organizational tools, including Asana, Slack, and Google Workspace administration
  • Comfort learning and improving technology systems and workflows
  • Strong, timely written communication and follow-through
  • Process documentation skills
  • Ability to balance detailed administrative work with higher-level systems and strategic thinking
  • Strong technical literacy and ability to learn, troubleshoot, and administer software systems
  • Ability to switch directions throughout the day and respond to emerging staff needs
  • Ability to work independently and collaboratively
  • Preferred experience with Google Workspace, Asana, Slack, Zoom, and EveryAction CRM
  • General understanding of digital security tools, including VPN, Backblaze, and Malwarebytes
  • Nonprofit experience preferred
  • Some finance experience or knowledge is a plus
  • Must be within commuting distance of Brooklyn, NY and work in the office at least once per week
