About the role

  • Report directly to the CEO and provide executive, administrative, project, and development support
  • Serve as the primary point of contact and liaison to the Board, clients, internal team members, and senior management teams
  • Organize and coordinate executive outreach and external relations efforts and oversee special projects
  • Act as the point of contact among executives, employees, clients, and other external partners—including highly confidential or critical matters
  • Help manage the CEO’s time allocation, professional relationships, and priorities; act as gatekeeper of calendars and appointments
  • Oversee complex and detailed travel plans, itineraries, and agendas
  • Format information for internal and external communication; prepare and coordinate oral and written communication
  • Arrange and handle logistics for leadership meetings and events: schedule meetings, draft agendas, record meeting notes, triage action items, and manage vendors for in-person events
  • Troubleshoot conflicts; make judgment calls and recommendations to ensure smooth day-to-day engagements
  • Manage prospect and customer interactions: track leads and next steps within the internal CRM
  • Partner with the People team to ensure discretion in talent searches and assist in people-related initiatives

Requirements

  • 5+ years of executive support experience, including supporting C-level executives
  • Expert proficiency with Notion, Slack & Google Workspace; ability to design and edit graphic presentations and materials
  • Technical proficiency and problem-solving skills related to cloud-based environments and web-based applications
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail with a high focus on reporting
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, and chief benefactors
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Ability to maintain a high level of integrity and discretion in handling confidential information
  • Ability to think both creatively and strategically
  • Based in Canada (7-month contract)
