About the role Collect, verify, and track all required onboarding documentation (W-9s, contracts, COIs, licenses, background checks). Review Certificates of Insurance (COIs) for accuracy, coverage, and compliance with state and company standards. Monitor subcontractor requirements across multiple states, ensuring adherence to regional labor and insurance regulations. Escalate discrepancies, expired documents, or compliance risks to leadership in a timely manner. Maintain accurate and up-to-date contractor records in SharePoint, Coupa, and other internal systems. Track onboarding progress to ensure no subcontractor begins work without full compliance clearance. Identify recurring compliance issues or process gaps and recommend improvements. Partner with insurance agencies to expedite and validate COIs. Provide clear guidance to subcontractors on required documents and next steps. Collaborate with recruiting team members and hiring managers to align onboarding with project timelines. Use Microsoft Office 365 and other software applications to perform job duties. Adhere to work hours Monday through Friday, 9 AM to 6 PM, and track time in time-keeping software; eligible for overtime. Requirements Strong organizational skills with the ability to manage multiple onboarding files and deadlines simultaneously. Familiarity with 1099 contractor requirements, insurance compliance, or COI verification. Preferred administrative or customer service experience. Excellent attention to detail and ability to spot errors or incomplete documentation. Strong written and verbal communication skills. Proficiency with Microsoft Excel, SharePoint, or similar tracking/filing systems. Adaptability to changing compliance standards and state regulations. Detail-oriented with a high level of accuracy in data entry and record-keeping. Proven ability to meet deadlines and work under pressure. Excellent time management and organizational skills. Familiarity with HR databases, applicant tracking systems, and candidate management systems. Knowledge of HR practices, employment laws, and recruitment best practices. Legally authorized to work in the United States (application asks). Willingness to submit to a post-offer, pre-employment background check (application asks). Ability to sit for long periods and occasionally lift up to 25 lbs. Eligible to be paid overtime for hours worked over 40 hours per work week.
