About the role
Key responsibilities & impact- Maintain personal books, reconciliations, and financial records across multiple accounts, including international holdings
- Track and administer investment holdings, income streams, and personal expenses with accuracy and consistency
- Manage personal tax administration, trust distributions, and entity-level record keeping in line with Australian obligations
- Coordinate with the principal’s Australian accountant, lawyers, and other advisors as the central financial liaison
- Handle confidential correspondence and ensure administrative follow-through on every delegated matter
- Prepare clean, decision-ready financial summaries and briefing materials for the principal on request
- Manage document storage, filing, and compliance-deadline tracking across all personal accounts and entities
- Run end-to-end bookkeeping across a small portfolio of businesses, including a supplement company and a coffee roaster
- Maintain accurate, up-to-date Profit & Loss statements, balance sheets, and cash flow reports for each entity
- Manage accounts payable and receivable across all businesses in the portfolio
- Process payroll or liaise with the payroll provider as required for each entity
- Prepare BAS submissions and GST reconciliations, and coordinate with Australian tax advisors on compliance
- Track inventory, COGS, and margin performance for the product-based businesses and flag anomalies proactively
- Deliver a clean, actionable monthly reporting package for each business, written for a founder-level audience
- Serve as the single point of contact across all entities — the principal should never have to chase for an update
- Proactively flag cash flow issues, deadline risks, discrepancies, and anomalies before they become problems
- Keep every entity audit-ready and organised at all times, not just at year-end
- Coordinate between external advisors so all parties have what they need, when they need it
- Take full ownership of delegated administrative tasks and follow through completely without prompting
Requirements
What you’ll need- CPA licensed
- 5 or more years across private client accounting and small business bookkeeping
- Hands-on proficiency in Xero, the primary accounting platform across the portfolio
- Demonstrated product-business experience: inventory management, COGS tracking, and gross-margin analysis
- Comfort managing multiple entities simultaneously with full accountability for accuracy and timeliness
- Strong BAS and GST knowledge — Australian tax experience strongly preferred; candidates without it must show a clear, credible plan to upskill quickly
- Fluent written English, exceptional discretion, and proactive communication
- Self-directed and reliable in a fully remote, contractor environment
- **Preferred Qualifications**
- Experience with trust structures, investment income tracking, and multi-entity financial consolidation
- Private client, family-office, or direct founder-support background
- Comfort across Google Workspace, cloud document management, and digital collaboration tools
