About the role

Key responsibilities & impact
  • Manage the end-to-end onboarding process for employees across the globe, including collecting and verifying information, completing onboarding forms, and setting up payroll and benefits enrolment
  • Facilitate collection and verification of international employment documents, including work permits, visas, and tax forms
  • Draft employment contracts using in-house templates and handle post-onboarding amendments throughout the employee lifecycle
  • Liaise with international clients and provide onboarding support and advice by phone and email
  • Ensure legal and regulatory documents are accurate, complete, and properly filed
  • Maintain accurate client and employee records and data integrity on the internal platform
  • Communicate onboarding requirements and timelines to clients and employees
  • Conduct training sessions or provide materials about the Horizons platform, policies, and procedures
  • Build client relationships and collaborate with client success, sales, payroll, finance, and legal teams
  • Assess and improve onboarding workflows, systems, and tools
  • Monitor compliance with employment laws, regulations, and EOR policies
  • Resolve onboarding issues and escalations, involving the manager in high-risk situations
  • Manage expectations regarding employment contracts and minimize unnecessary template changes
  • Participate in team and management meetings
  • Use CRM systems and internal communication channels
  • Gather post-onboarding feedback and address concerns with clients and employees

Requirements

What you’ll need
  • Experience administering employee onboarding; global setup, administration, and maintenance experience preferred
  • Professional proficiency in English required
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience in onboarding or HR administration
  • Experience in onboarding, HR administration, or a related role, preferably in an EOR or PEO environment
  • Familiarity with global onboarding processes and compliance requirements highly desirable
  • Understanding of local and international employment regulations and compliance standards
  • Knowledge of employee onboarding best practices, contract drafting using templates, and HR documentation management
  • Excellent verbal and written communication skills
  • Strong interpersonal, organizational, analytical, problem-solving, and customer service skills
  • Ability to prioritize tasks, meet deadlines, and maintain accurate, confidential records
  • Proficiency with HR software, CRM systems, and relevant tools; HubSpot and Confluence ideally
  • Ability to work in a fast-paced environment with changing priorities and deadlines
  • Ability to collaborate with cross-functional teams
  • Awareness of cultural differences and ability to work with diverse international clients and employees
  • Professionalism, integrity, and discretion when handling sensitive information
