About the role
- Manage the full purchase order and invoice process, including creating POs, coding and routing invoices for approval, tracking status, and resolving discrepancies.
- Maintain accurate vendor and contractor documentation, support onboarding, and serve as the primary administrative contact.
- Coordinate vendor and contractor scheduling, site access, permits, and compliance requirements.
- Serve as the central administrative support for the Engineering department and expanded on site partners, handling scheduling, visitor registration, meeting coordination, agenda preparation, minutes, and follow‑up tracking.
- Provide on boarding support for engineering team members; coordinate workplace/workspace needs, assist for systems orientation.
- Manage engineering team office supplies, tools, and safety supplies.
- Coordinate across Digital tools to perform engineering administrative functions such as; web based project management system, interact with third party project accounting systems, interface with internal and external document management systems.
- Manage shared inboxes, departmental communications, documentation systems, training records, logs, and compliance files.
- Assist engineering leaders with project tracking, timelines, documentation, and reporting.
- Create, update, and manage work orders in the CMMS (as applicable).
- Organize and maintain drawings, technical documents, vendor files, and project records.
- Support operating and capital budget tracking by updating spreadsheets, dashboards, and cost trackers.
- Prepare regular financial and operational reports, including spend summaries, open POs, and invoice aging.
- Identify and implement opportunities to improve administrative, purchasing, and documentation processes.
- Support adoption of new tools, systems, and departmental standards to enhance accuracy, efficiency, and compliance.
Requirements
- Associate or bachelor’s degree in engineering, Project Management, or a related technical field, or suitable experience in lieu of formal qualification.
- Experience in administrative, coordination, or support roles (engineering, maintenance, supply chain, or operations preferred).
- Strong organizational skills and high attention to detail.
- Experience managing purchase orders and invoices (ERP systems preferred—SAP, Oracle, Coupa, etc.).
- Proficiency in Microsoft Office (Excel, Outlook, Word, Teams).
- Ability to communicate professionally with vendors, contractors, and internal teams.
- Ability to manage multiple priorities in a fast‑paced environment.
- Experience in a manufacturing, facilities, or engineering environment.
- Familiarity with Engineering and Maintenance business systems (e.g.,SAP, Kneat, ProCore, AutoCAD, Maximo, Fiix, eMaint).
- Basic understanding of engineering or maintenance workflows.
