About the role

Key responsibilities & impact
  • Keep the marketing board (ClickUp) up to date with campaigns, events, releases, and deliverables, including owners and due dates
  • Run the weekly check-in rhythm, track progress, identify slips and blockers, and follow up
  • Coordinate work across design, video, content, community, and social
  • Flag delivery risks early
  • Build, proof, and send email campaigns and the monthly newsletter
  • Build landing pages, forms, lists, and workflows for events, content downloads, and demos
  • Maintain marketing database hygiene, including suppressions, unsubscribes, and bounces
  • Ensure leads reach the correct segment, workflow, and owner
  • Support conference presence through lead forms, landing pages, registration logistics, list management, and follow-up sequences
  • Track vendor lead times for swag, print, and booth materials
  • Transfer event leads into the CRM with correct tagging within days
  • Track partner contractual deliverables and maintain partner and directory profiles
  • Help manage placements outside major ad platforms
  • Support paid media agency check-ins and reporting follow-up
  • Monitor partner communications and flag issues
  • Pull and circulate email, paid media, form conversion, and event lead metrics
  • Establish a repeatable reporting process for leadership
  • Initially report directly to the CEO while the marketing department is rebuilt

Requirements

What you’ll need
  • 2+ years of experience in project coordination, marketing operations, or managing multiple campaigns and projects
  • Track record of finishing work and following through
  • Ability to take basic direction, ask effective questions, and work independently
  • Strong organization and ability to manage multiple unrelated workstreams
  • Clear, direct written communication
  • Daily fluency with modern AI tools such as Claude or ChatGPT
  • Persistent, good-humored follow-up
  • Demonstrated expertise in HubSpot and ClickUp
  • Familiarity with Typeform, Zoom, or Stadium is a plus, not required
  • Real estate or industry background, including former agent experience, is a strong bonus but not required
  • Background and reference checks required
  • Must be comfortable coordinating primarily through Slack and project tools
