About the role
Key responsibilities & impact- Manage the company calendar
- Coordinate logistics and travel arrangements for conferences and speaking engagements
- Set agendas for regular and ad hoc team meetings, take minutes, and follow up on key tasks
- Conduct plant-based and animal-based meat industry research to support funding, policy, and strategy decisions
- Draft emails, SOPs, and other correspondence
- Create and track confidentiality agreements and other formal documents using Adobe Sign
- Request and manage insurance information, NDAs, credit checks, and other documents
- Maintain, monitor, and update databases, documents, certifications, and related records
- Perform HR duties including scheduling, correspondence, document preparation, and computer preparation
- Assist the Controller with collections, data entry, filing, and other financial tasks
- Assist the sales team with trade show coordination, marketing collateral, samples, target lists, CRM updates, and web inquiries
- Monitor staff schedules and vacation tracking
- Order office supplies and process incoming and outgoing mail
- Run company errands as necessary
- Assist with facilities requests and routine maintenance checks
- Report directly to the Chief Business Officer
- Perform miscellaneous duties as assigned
Requirements
What you’ll need- 2+ years experience as an executive assistant, office manager, or similar role
- Proficiency in all standard G-Suite applications
- Highly organized and independent approach to follow-up tasks
- Ability to prioritize projects and strong problem solving skills
- Desire to work in a fast-paced, demanding food production startup environment
- Ability to be flexible and willing to take on new tasks to support the CEO and team
- Excellent written and verbal communication skills
- Ability to ensure confidentiality related to sensitive company and/or employee information
- Exceptional experience completing tasks to a high standard of professionalism and attention to detail
- Passion to make the plant-based meat industry succeed
- Ability to stand for long periods of time, stoop, kneel, and reach regularly
- Ability to lift, push, and pull up to 35 pounds
- Ability to travel by all means of transportation
