About the role

  • Document Processing : Organize, scan, and maintain incoming and outgoing documents to ensure accuracy and easy retrieval.
  • Office Coordination : Help with office tasks such as scheduling meetings, maintaining office supplies, and assisting in general office operations.
  • Billing Support : Provide backup support in billing, payments, and invoicing.
  • Client Communication Support : Assist with inquiries, collection calls, email, and MS Teams communications.
  • Team Backup : Act as a backup for some team members, ensuring continuity of office functions.
  • General Administrative Tasks : Provide support with tasks such as filing, data entry, inventory, and helping with the coordination of office workflows and celebrations.

Requirements

  • Strong Organizational Skills : Ability to manage multiple tasks efficiently and meet deadlines consistently.
  • Attention to Detail : A meticulous eye for accuracy in all aspects of document processing, billing, and office coordination.
  • Team Player : Willingness to support colleagues and act as backup when necessary to ensure smooth operations.
  • Communication Skills : Clear and effective communication with both clients and internal team members.
  • Experience with Office Software : Comfortable using document management systems, scheduling tools, billing software, and general office software.
  • Bilingual in English and Spanish : Fluency in both languages, enabling you to support our diverse client base.
  • Previous Administrative Experience : Ideal candidates will have experience in administrative or office support roles, but we are happy to train. Previous Experience with bookkeeping and billing strongly preferred.
