About the role

  • Planning and coordinating conferences and tradeshows, including securing venues, managing exhibitor requirements, and ensuring compliance with event specifications
  • Handle logistics such as registration, shipping, booth setup, audiovisual requirements, and catering arrangements
  • Communicate with vendors, sponsors, and exhibitors to manage event needs and deadlines
  • Track and manage event budgets to ensure all expenses align with financial goals
  • Support the preparation and distribution of marketing materials and promotional campaigns
  • Help plan and execute the logistics of Sales & Marketing Team internal events, including staff meetings, training sessions, and team-building activities
  • Maintain event calendars, timelines, and checklists to ensure smooth operations
  • Prepare and distribute pre-event and on-site materials such as attendee lists, badges, and agendas
  • Assist in on-site event setup, execution, and teardown when required
  • Gather post-event feedback from attendees, stakeholders, and team members to identify areas for improvement
  • Stay up to date on industry trends and best practices in conference and tradeshow management
  • Follow standard operating procedures; provide feedback on procedures for process improvement
  • Assist team with problem resolution
  • Travel up to 20% of your time

Requirements

  • 0-2 years Marketing experience
  • Strong documentation, presentation, and communication skills
  • University Degree
  • Mexican Passport and US Travel Visa
  • Excellent organizational skills with the ability to handle multiple projects and deadlines
  • Strong communication and interpersonal skills to build relationships with vendors, clients, and team members
  • Outstanding written and verbal communication skills, perfect grammar and command of the English language
  • Expertise in standard MS Office and Adobe PDF toolsets
  • Willingness and ability to travel up to 20%
  • Preferred: Previous experience or internships in event coordination, preferably with conferences, tradeshows, or corporate events
  • Preferred: Basic knowledge of exhibitor requirements, floor plans, or tradeshow logistics
  • Preferred: Experience in the green energy or utilities domain
  • Preferred: Experience with a U.S. based company
