About the role

Key responsibilities & impact
  • Provide general administrative and clerical support, including word processing, proofreading, spreadsheet data entry and reporting
  • Update specifications files and create and maintain internal resumes
  • Coordinate staff delivery and manage onboarding training schedules
  • Create, prepare, track and present internal company-wide meetings, including monthly, quarterly and ad hoc sessions
  • Update and proofread policies and procedures with 100% accuracy
  • Research and purchase employee and client gifts and assist with swag logistics
  • Manage files, templates and standardization
  • Track document requests and ensure timely fulfillment and accurate recordkeeping
  • Support special projects, including basic small project management and coordination
  • Manage the general email inbox and phone messages, responding to inquiries and directing them appropriately
  • Book travel arrangements and register staff for industry events, including coordination, reservations and tracking
  • Manage email and schedules
  • Develop company meeting presentations and coordinate content among contributors
  • Manage expenses
  • Complete assigned tasks and deliverables on time and on budget
  • Perform other related duties as assigned

Requirements

What you’ll need
  • Minimum of five years of experience in a professional office or consulting services environment
  • Knowledge of administrative and clerical procedures and systems, including word processing, file and record management, form design and office procedures
  • Knowledge of booking and arranging travel and events
  • Continued and progressive knowledge of administrative tasks required for an engineering firm
  • Skill using MS Office Suite: Excel, Word, Outlook, PowerPoint, Teams and SharePoint
  • Skill using Adobe and/or Bluebeam
  • Skill using artificial intelligence, machine learning and generative artificial intelligence
  • Ability to complete assignments accurately and with attention to detail
  • Typing with minimal errors
  • Effective oral and written communication of technical and non-technical information
  • Ability to work successfully as a team member and independently with supervision
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to communicate status proactively to managers and stakeholders
  • Ability to receive feedback, redirection and pushback constructively
  • Willingness to learn and operate within QC Servion’s communication standards, process framework and project-tracking tools
  • Ability to work successfully in a remote environment through effective communication, organization, self-motivation, proactiveness and resourcefulness
