About the role

Key responsibilities & impact
  • Ensure project governance
  • Plan, structure, and monitor the department’s projects, ensuring adherence to schedules, scope, priorities, and the adopted management methodology;
  • Monitor risks, impediments, and dependencies, proposing actions to mitigate impacts;
  • Keep project schedules, documentation, and controls up to date.
  • Integrate stakeholders and promote alignment across departments
  • Act as the focal point between academic, operational, administrative teams, faculty, and suppliers;
  • Lead follow-up meetings, record decisions, and monitor action plans;
  • Promote clear and transparent communication on project progress, anticipate risks, and facilitate decision-making.
  • Support the production flow of course materials
  • Oversee all stages of course material production, ensuring integration among participants and compliance with schedules;
  • Monitor the execution of deliverables, support deadline renegotiations when necessary, and act to resolve deviations that could jeopardize projects.
  • Support faculty contracting and relationship processes
  • Assist in the sourcing, contracting, and monitoring of faculty authors throughout the entire production cycle;
  • Interface with administrative areas to ensure progress on compliance processes, contracts, documentation, and payments.
  • Produce information to support management
  • Prepare management reports, dashboards, and project performance indicators;
  • Consolidate information to support coordination in tracking production and making decisions.
  • Promote continuous process improvement
  • Identify opportunities to optimize department processes;
  • Support the development of automated workflows and management tools, contributing to greater operational efficiency.

Requirements

What you’ll need
  • Bachelor's degree in Business Administration or a related field;
  • Experience in project management and project tracking;
  • Knowledge of project management methodologies (traditional, agile, or hybrid);
  • Proficiency in Microsoft Office Suite, with emphasis on Excel and Power BI;
  • Experience preparing KPIs, management reports, and executive presentations;
  • Excellent communication, organizational skills, and the ability to work with multiple stakeholders and multidisciplinary teams.
  • The following are a plus:
  • Postgraduate degree in Project Management;
  • Knowledge of Power Automate and other Power Platform tools;
  • Experience with projects in the Education sector or Distance Learning;
  • Experience in process improvement and workflow automation.
