Provide high-level administrative, operational, and project support to the Managing Director of Trellis Climate and the full Senior Leadership team
Manage and maintain a complex calendar, including scheduling meetings, events, and travel
Arrange and manage all aspects of travel, including flights, hotel accommodation, and ground transportation for senior leadership
Prepare and edit correspondence, presentations, reports, and other documents for internal and external use
Conduct research and compile data to prepare for meetings and special projects
Coordinate and organize all logistics for meetings, including scheduling, agenda preparation, minute-taking, and follow-up on action items
Assist the Trellis team in scheduling and logistics for team retreats and attend Trellis team meetings and in-person events (minimal travel, roughly quarterly)
Support the Manager of Executive Office with task and project management on key projects and initiatives, ensuring deadlines are met and stakeholders are kept informed
Remotely support logistics for Prime events, team off-sites, and senior leadership off-sites
Submit and reconcile expense reports and review and submit invoices in a timely and accurate manner
Update shared drive, reports, and other related documents in support of the Finance & Operations team
Requirements
Bachelor’s Degree or equivalent work experience
Previous experience as an executive assistant with a high level of responsibility
Excellent organizational skills
Proficiency with G-Suite (especially Gmail, Google Docs, Google Sheets, and Google Slides), Microsoft products (especially Word, PowerPoint, and Excel), Adobe, Asana, and Slack
Familiarity with additional software platforms and the ability to come up to speed on new ones quickly
Proficient with creating and managing project budgets, specifically travel and events
Willingness to work occasionally in both Pacific and Eastern time zones (core hours 11 AM - 3 PM EST)
Proficient in accounts payable and expense report software (Nexonia)
