About the role
Key responsibilities & impact- Review workflows for errors, gaps, duplicated steps, and inefficiencies; propose fixes
- Build and document processes, SOPs, checklists, instructions, and process guides
- Create screen captures and training videos
- Test changes before and after production release
- Administer and configure platforms including Asana, ActiveCampaign, HubSpot, Google Workspace, Zapier, and Make
- Build, maintain, and troubleshoot automations, templates, task routing, and email sequences
- Resolve or escalate staff questions about systems, access, and workflows
- Work with software vendors to resolve platform problems
- Provision and adjust user access and maintain system continuity
- Conduct operational audits and score work against standards
- Identify recurring errors and recommend retraining, process, form, or automation changes
- Compile, clean, normalize, validate, and report operational data
- Produce reports on volume, processing time, workload, quality, and capacity
- Administer systems and access for new-hire onboarding
- Prepare onboarding projects, credentials, and role-specific materials
- Train employees and deliver refresher training
- Coordinate shared processes with Legal, Finance, Setup, Correspondence, Reception, and other teams
- Communicate operational changes and support rollouts, office-specific procedures, and special projects
- Review and score candidate assessments for operational hiring when asked
Requirements
What you’ll need- Committed to helping immigrants secure their future in the United States through asylum
- Fluent Spanish and English, written and spoken, at a professional level
- Advanced Excel and Google Sheets, including pivot tables, lookups, conditional logic, and cleaning large or messy data sets
- Experience building recurring reports from raw data and validating results
- Hands-on CRM or marketing automation administration experience, preferably ActiveCampaign or HubSpot
- Experience with automations in Zapier, Make, Google Apps Script, Claude Cowork, or a comparable platform
- Experience with a task or project-management platform, preferably Asana
- Experience writing SOPs or work instructions
- Experience creating training materials and training employees, including written guides and screen recordings
- Exceptional attention to detail
- Ability to manage competing priorities and urgent interruptions
- Excellent judgment with confidential client, legal, financial, and employee information
- Comfort working on undefined problems without an obvious escalation point
- Ability to work across departments without formal authority
- Organization and ability to perform with minimal supervision
- Versatility and willingness to take on changing responsibilities
