Case Operations Coordinator

About the role
Key responsibilities & impact- Coordinate with attorneys, both in-house and contractor, to ensure every interview and hearing on the firm’s calendar is covered, managing busy calendars and availability across multiple time zones
- Call clients in both English and Spanish to gather information, provide updates, schedule appointments, and ensure they remain engaged throughout their case development
- Accurately prepare and submit attorney appearance forms for each interview, within strict deadlines, to asylum offices, clients, and attorneys
- Serve as the primary liaison between clients and attorneys, ensuring clear communication flows in both directions and all parties stay informed of case developments and requirements
- Maintain detailed tracking systems to ensure no critical deadlines are missed and all submissions are completed on time
- Proactively identify potential issues or bottlenecks in case progression and communicate with teammates to resolve problems before they impact deadlines or client service
- Perform various coordination and other administrative tasks, as assigned
Requirements
What you’ll need- Commitment to the firm’s mission of helping immigrants secure their future in the United States through asylum
- Exceptional organizational skills and logistics management capabilities
- Fluency in Spanish and English
- Outstanding communication and interpersonal skills
- Detail orientation and a strong ability to manage multiple deadlines simultaneously
- Comfort and confidence making phone calls to clients and professional contacts
- Empathy and patience when working with clients in crisis situations
- The ability to work well under pressure and maintain accuracy during intense periods
- Tech-forward skills and eagerness to learn new online systems and procedures
- The ability to perform at a high level with minimal supervision
- Strong follow-up skills and a proactive, problem-solving mindset that anticipates needs and addresses issues before they escalate
