Provide day-to-day administrative support to three executives, managing complex global calendars, international travel, and cross-time-zone meeting coordination
Serve as a gatekeeper and point of contact, ensuring executives’ time is focused on top priorities
Prepare agendas, presentations, briefing materials, and follow-up notes for meetings with internal teams and global partners
Coordinate across internal departments and international stakeholders to support executive initiatives
Track action items and deadlines, ensuring timely completion and communication of deliverables across regions
Assist with expense reporting, invoice processing, and other operational tasks
Support special projects, events, and strategic initiatives with both local and global impact
Maintain discretion and confidentiality in all matters
Requirements
2–4 years of experience as an Executive Assistant, Administrative Assistant, or in a similar support role (agency or fast-paced environment a plus)
Excellent organizational and time management skills, with proven ability to manage multiple priorities across global time zones
Strong communication skills (written and verbal), with the ability to interact confidently with executives and partners worldwide
High level of discretion, professionalism, and judgment when handling sensitive information
Proficiency in Microsoft Office and Google Workspace; experience with project management or collaboration tools is a plus
Self-starter with a proactive mindset, capable of anticipating needs before they arise
Strong attention to detail while maintaining flexibility in a dynamic environment
Comfortable operating across time zones, cultures, and global business environments
