About the role
- Provide day-to-day administrative support to three executives, managing complex global calendars, international travel, and cross-time-zone meeting coordination
- Serve as a gatekeeper and point of contact, ensuring executives’ time is focused on top priorities
- Prepare agendas, presentations, briefing materials, and follow-up notes for meetings with internal teams and global partners
- Coordinate across internal departments and international stakeholders to support executive initiatives
- Track action items and deadlines, ensuring timely completion and communication of deliverables across regions
- Assist with expense reporting, invoice processing, and other operational tasks
- Support special projects, events, and strategic initiatives with both local and global impact
- Maintain discretion and confidentiality in all matters
Requirements
- 2–4 years of experience as an Executive Assistant, Administrative Assistant, or in a similar support role (agency or fast-paced environment a plus)
- Excellent organizational and time management skills, with proven ability to manage multiple priorities across global time zones
- Strong communication skills (written and verbal), with the ability to interact confidently with executives and partners worldwide
- High level of discretion, professionalism, and judgment when handling sensitive information
- Proficiency in Microsoft Office and Google Workspace; experience with project management or collaboration tools is a plus
- Self-starter with a proactive mindset, capable of anticipating needs before they arise
- Strong attention to detail while maintaining flexibility in a dynamic environment
- Comfortable operating across time zones, cultures, and global business environments
