About the role

Key responsibilities & impact
  • Own end-to-end execution of field marketing events, from planning and logistics through on-site coordination, post-event follow-up, debriefs, and reporting
  • Create detailed event plans and timelines that keep internal teams and external vendors organized, informed, and on track from planning through execution
  • Attend and engage customers, prospects, and partners at in-person events
  • Source, vet, and manage relationships with venues and vendors for events, print projects, and promotional items
  • Collaborate with internal stakeholders to plan and execute key milestone events for employees
  • Maintain and optimize event documentation and workflows based on learnings and feedback
  • Actively contribute ideas for improving events and programs based on what's working and what's not
  • Ensure timely fulfillment of sales enablement resources, including collateral production, branded swag inventory, and trade show materials
  • Coordinate and execute gifting campaigns and sales incentive programs, managing vendors, communications, and fulfillment timelines
  • Handle material requests, coordinate printing and shipping with vendors, and track inventory levels to identify when materials need updating or restocking
  • Update and create sales collateral and promotional materials using Canva, Figma, and/or Illustrator
  • Perform additional responsibilities as assigned

Requirements

What you’ll need
  • 3-5 years of experience managing local events, tradeshows, and experiential partner events (sports suites, happy hours, etc.) with demonstrated success in end-to-end execution
  • Strong project management skills—ability to coordinate multiple events, vendor relationships, and sales enablement programs while meeting deadlines
  • Experience using project management tools (Asana or similar) to organize projects and keep teams informed
  • Excellent written and verbal communication skills
  • Direct customer-facing experience—must be comfortable representing Pilot in-person, over the phone, and via email
  • Proven ability to work effectively across teams and earn cooperation through clear, proactive communication
  • Detail-oriented with a track record of delivering accurate, high-quality work
  • Creative problem-solver who can figure things out and find solutions independently
  • Comfortable working outside traditional business hours as needed (regular event attendance required; events may begin before 8 AM and after 6 PM)
  • Ability to travel up to 20% for conferences and other events
  • Ability to lift up to 25 lbs on occasion
