About the role
- Independently manage complex calendars, including scheduling across multiple time zones.
- Coordinating meetings with senior-level executives and their assistants both internally and externally.
- Integrating travel plans seamlessly.
- Provide high-level daily support by anticipating the needs of the executive(s).
- Ensure they are fully prepared for meetings and calls with relevant materials, pre-reading, and context.
- Arrange all aspects of domestic and international travel, including flight bookings, ground transportation, accommodations, detailed itineraries, and expense processing.
- Answer and screen incoming calls, take detailed messages, return calls on behalf of the executive(s), and initiate conference calls as needed.
Requirements
- Minimum of 5+ years business/executive administrative experience.
- Excellent interpersonal skills, initiative, dependability and the ability to communicate with all levels in the organization are necessary.
- Ability to work independently with minimal supervision but collaborate as a team.
- Ability to handle sensitive information and maintain confidentiality.
- Excellent organizational and prioritization skills, good judgment and self-starter.
- Ability to manage multiple priorities and work in fast paced environment.
- Proficiency with Microsoft Office programs, specifically Word, Excel and PowerPoint.
