About the role

Key responsibilities & impact
  • Report directly to the US Hospital Portfolio Lead
  • Drive and manage key operational projects and continuous improvement activities
  • Provide administrative support to the Portfolio, PCO and MarCom Leads and team members
  • Maintain regular contact with assigned leadership team members to review schedules, events, and assignments
  • Plan and support meetings, events, team buildings, trainings, and external stakeholder meetings
  • Ensure required materials and technology are available and operational
  • Process and track invoices and purchase orders
  • Coordinate travel arrangements, prepare itineraries and expense reports, and perform credit card reconciliation
  • Maintain multiple calendars, anticipate conflicts, and resolve scheduling problems
  • Schedule and coordinate meetings across time zones; distribute and store information in Pfizer repositories
  • Manage projects and ad-hoc assignments
  • Coordinate collaboration, communication, and ownership for high-level initiatives
  • Create spreadsheets, tables, charts, templates, and presentation materials
  • Edit, type, file, proofread, and maintain documents and spreadsheets; run monthly reports
  • Copy, format, and distribute materials
  • Purchase and track office supplies and equipment through Pfizer systems and ARIBA
  • Maintain purchase records, purchase orders, receipts, office supplies, equipment, and cell phones
  • Support new employee onboarding and follow up on technical issues
  • Provide administrative support as requested
  • Work across time zones and global sites
  • Coordinate facilities space requirements and cross-site access

Requirements

What you’ll need
  • High school diploma required
  • 4 years of related administrative business experience
  • Strong knowledge of Ariba, Travel & Expense, Teams, Box, and Yammer
  • Experience and proficiency in Microsoft Word, Excel, and PowerPoint
  • Ability to perform complex administrative duties and track multiple tasks
  • Strong attention to detail
  • Excellent oral and written communication and organizational skills
  • Sensitivity in handling confidential information
  • Advanced computer skills, including advanced knowledge of Microsoft Office applications such as Word, PowerPoint, Outlook, and Teams
  • Ability to navigate internal organization and processes
  • Must be authorized to be employed in the United States by any employer
  • Must have permanent work authorization in the United States
  • U.S. work visa sponsorship is not available now or in the future
  • Approximately 15% travel required based on business need
