About the role

Key responsibilities & impact
  • Coordinate day-to-day Dean's Office operations, providing backup administrative coverage for the Dean.
  • Greet and assist visitors to the Dean’s Office.
  • Manage Dean's Office business processes including vendor contracts and budget tracking.
  • Provide administrative support to the Chief of Staff.
  • Draft, format, fact-check, and proofread briefing notes and other materials.
  • Manage logistics and operations for meetings and coordinate calendars and resources.
  • Plan and deliver Dean's Office-led events and manage event budgets.
  • Monitor and triage the Dean's Office inbox and draft routine responses as appropriate.
  • Perform additional duties as assigned.

Requirements

What you’ll need
  • A Bachelor's degree and 2-3 years of relevant experience, or equivalent combination of education and experience.
  • Highly proficient in Microsoft Suite applications.
  • Exceptional interpersonal and customer service skills.
  • Capable of building trust by demonstrating competence, discretion, and thoughtfulness.
  • Capability to manage up with senior colleagues.
  • Preferred: At least 3 years of relevant experience in project management and administrative support roles in higher education.
  • Meticulous with strong written and verbal communication skills.
  • Demonstrate a high level of discretion with confidential information.
  • Robust problem-solving skills.
  • Ability to manage multiple tasks in a dynamic environment with flexibility to shifting priorities.
