Administrative Assistant, Gift Planning
Penn Information Systems & ComputingAdministrative Assistant for the Office of Gift Planning at the University of Pennsylvania. Providing administrative support, managing records, and assisting with fundraising-related tasks.
About the role
Key responsibilities & impact- Answer telephone calls courteously and professionally
- Support OGP team with clerical work, including filing, scanning, and entering correspondence
- Assist with travel arrangements and reimbursements for the OGP team
- Support preparation of in-person and virtual events
- Maintain office calendar and schedule meetings
- Work with fundraising and marketing directors on messaging
- Support fundraising directors in planning donor visits and events
- Ensure confidentiality and data integrity in donor database management
- Help maintain the Harrison Society and track goals
- Generate reports and extract data for leads and presentations
Requirements
What you’ll need- High School Grad/GE Degree and 3 to 5 years of experience or equivalent combination of education and experience is required
- Knowledge of higher education and not-for-profit sectors preferred
- Excellent interpersonal, communication, and writing skills
- Strong attention to detail
- Ability to organize and manage multiple projects
- High level of competency with computer software programs including database management, Microsoft office suite, CRM software, and internet research
- Capacity to learn and apply new technologies as needed
- Ability to handle confidential materials with discretion
- Occasional weekend and/or evening work required
