About the role
Key responsibilities & impact- Own cross-functional coordination among Client Success, Client Coordination, and Veterinary Externship Operations for enterprise partner externship needs, priorities, questions, and escalations
- Build and maintain relationships with internal stakeholders and enterprise partners
- Serve as the dedicated externship subject matter expert and professional point of contact
- Participate in Veterinary Externship Team meetings and maintain current knowledge of operations, program requirements, placement processes, policies, trends, and AVMA updates
- Synthesize complex program, operational, policy, and regulatory information into clear guidance, updates, resources, and talking points
- Lead and participate in client meetings, town halls, onboarding sessions, informational meetings, and training events
- Manage client concerns and escalations, coordinate stakeholders, and ensure timely resolution and follow-through
- Partner with Client Success Managers and Client Coordinators to prepare for client conversations and address account-specific needs
- Represent the client voice within Veterinary Externship Operations and collaborate on process improvements
- Use CORE daily to manage student participation, placement status, site applications, progression, completion, and externship activity
- Translate CORE data into internal and client-facing reports, status updates, and actionable insights
- Use email and Microsoft Teams for communication, meetings, collaboration, documentation, and follow-up
- Develop, maintain, and distribute reports, FAQs, how-to guides, training materials, process documentation, toolkits, talking points, and best-practice recommendations
- Identify recurring questions, escalations, operational barriers, and process gaps and develop scalable solutions
- Support prospective client conversations and explain externship requirements and processes
- Support sponsored students through externship placement and completion, including reviewing and monitoring student and site applications
- Monitor KPIs, CORE data, client feedback, and externship trends to identify risks and opportunities
- Escalate significant risks and unresolved or recurring issues to appropriate leaders
- Participate in process improvement initiatives, system enhancements, and cross-functional projects
- Attend industry conferences, trade shows, and partner events as needed, typically one to two times per year
Requirements
What you’ll need- Current credential as a Veterinary Technician — RVT, LVT, or CVT — or a Veterinarian
- Ability to work effectively within a matrixed organization and balance priorities across Client Success, Client Coordination, Veterinary Externship Operations, enterprise partners, and students
- Ability to build trusted client relationships using consultative partnership, operational expertise, responsiveness, and sound judgment
- Strong client-facing written and verbal communication skills
- Ability to lead meetings, explain complex processes, set expectations, and communicate difficult information professionally
- Ability to manage sensitive conversations and client escalations calmly and respectfully
- Strong active-listening, critical-thinking, problem-solving, organizational, and follow-through skills
- Ability to assess urgency, prioritize competing needs, and coordinate action through resolution
- Ability to absorb detailed program, policy, operational, and regulatory information and translate it into concise communication
- Ability to learn and work effectively within technology platforms managing student, site, placement, and progression information
- Proficiency using email and Microsoft Teams
- Role-specific assessment required as the first hiring step
- Successful completion of applicable pre-employment screening requirements
- Employment eligibility verification through Form I-9
- Preferred: previous experience using CORE
- Preferred: experience supporting enterprise clients, sponsored education programs, externship or clinical placement operations, or veterinary education programs
- Preferred: experience across client-facing and operational teams in a collaborative or matrixed environment
- Preferred: experience interpreting and communicating educational, accreditation, regulatory, program, or policy updates
- Preferred: experience developing reports, training materials, process documentation, FAQs, talking points, or client-facing resources
