Oversee and monitor the profitability of each event, ensuring budgets are adhered to and revenue targets are met.
Work closely with the Director to prioritise business objectives and manage operational priorities.
Regular communication with Event Leads to track project milestones, risks, and client satisfaction.
Review and analyse project timelines, identifying bottlenecks and reallocating resources as required.
Conduct post-event reviews to capture lessons learned and recommend improvements.
Audit current processes and implement efficiencies to streamline event delivery and administration
Maintain a complete overview of all operational systems, event management software, and technology tools, staying abreast of emerging innovations to improve productivity
Implement standard operating procedures (SOPs) for consistency and efficiency across projects.
Ensure all staff are trained in relevant systems, tools, and compliance requirements (including WHS and relevant permits/licences)
Lead Onboarding for new staff, producing clear induction documentation and role guidelines
Support professional development, ensuring team members have access to upskilling opportunities and mentoring
Facilitate regular staff meetings, strategic planning sessions, and team- building initiatives
Act as a key point of escalation for staff queries or challenges, maintaining a solutions-focused approach
Work with the Accountant to monitor cash flow, budgets, and event profitability reports.
Analyse current pricing models and competitor activity to inform pricing strategy and business positioning.
Support the Director in identifying and pursuing new revenue streams or commercial opportunities.
Ensure all supplier agreements and contracts are reviewed, negotiated, and monitored for cost efficiency.
Oversee the development and delivery of the annual marketing plan, ensuring deadlines and KPIs are met
Monitor the performance of marketing initiatives and refine strategies based on data insights.
Ensure consistent brand representation across all client touchpoints
Ensure all events meet legal, safety, and insurance requirements
Develop contingency plans for operational risks, including event disruptions and staffing changes
Maintain up-to-date policies on workplace health and safety, privacy, and cultural protocols (where relevant).
Requirements
Bachelor's degree in Business Administration, Operations Management, or related field (MBA preferred)
10+ years of experience in operations management, with at least 5 years in a Western company of similar size (5-30 staff)
Proven experience leading Western teams from an offshore location
Strong background in business analysis with demonstrated experience in process improvement and data-driven decision making
Expertise in implementing and managing project management software tools for comprehensive project visibility
Excellent financial acumen with experience in budgeting, forecasting, and financial analysis
Advanced proficiency in Microsoft Office suite, particularly Excel, and experience with data analysis tools
Fluent in English; additional languages are a plus
Demonstrated success in implementing and optimizing operational processes in a multinational context
