About the role
- Provide pro-active efficient and effective administrative and Accountancy practice whilst providing ongoing support to the Head Office Manager and other departments within the Head Office.
- Interacts with Customers, company management, buyers, internal staff, administration personnel, warehouse staff, merchandisers, suppliers, delivery agents, representatives, service/maintenance contractors.
- Accounts Payable: Processing of Invoices including weekly Data Entry and Monthly Reconciliation of Supplier and Expense Statements (large volumes) including Payments to be processed accurately and in accordance with closely defined policies/procedures and deadlines.
- Investigating validity of all invoice details and questioning dollar amount charged as and when required.
- Communicating with senior staff opportunities to negotiate savings and/or discounts.
- Payroll: To ensure timely and accurate processing and auditing of Weekly Payrolls.
- HR: Managing, maintaining and updating associated paperwork/files including issuing of Employment Packs to new Employees. Adhering to the Company rules, policies and procedures.
- Day to Day Administration and Reporting: Tasks set by Office Manager as and when required including providing support to other departments. Communicating to the Office Manager any policies and procedures that require updates and or suggestions of improvements for speed and accuracy. Handle Incoming mail and correspondence on the same day it arrives. Communication and supporting stores with a sense of urgency.
- Performance needed: Support the Office Manager to achieve key functions and performance outcomes. Maximise level of productivity and controlling accuracy and quality of output whilst meeting deadlines and achieving results. Consistent numerical and reconciliation skills. Being able to take ownership of queries and solving problems and investigating cost savings. To willingly contribute to other areas of the organisation where skills and knowl.
Requirements
- Minimum of 2+ years experience in accounting and administration or similar.
- Strong understanding of the New Zealand payroll and accounting environment.
- Proficiency in cloud-based accounting platforms such as:
- - Xero
- - MYOB
- - QuickBooks Online
- Intermediate level of Microsoft Suite including Excel, Word, MS Teams, and Outlook.
- Sound and Effective account/administration skills.
- Excellent Verbal/Written Communication Skills.
- Developed People Skills.
- Ability to pay attention to detail and avoid distractions.
- Ability to work under pressure while maintaining speed and accuracy.
