About the role
Key responsibilities & impact- Coordinate day-to-day Payroll Department activities
- Process weekly payroll and certified payroll accurately and on time
- Manage full-cycle multi-state payroll for 600–700 employees
- Audit automated and manual timecards
- Calculate hours, tax withholdings, deductions, bonuses, and union fringes
- Process certified payroll requirements and ensure compliance with federal, state, and local prevailing wage laws
- Submit certified payroll reports and fulfill contractual obligations
- Upload compliance documentation into project-specific payroll tracking systems
- Coordinate with customers, general contractors, subcontractors, government agencies, and labor unions
- Review job packets for certified payroll and prevailing wage requirements
- Review and process tiered subcontractor certified payroll documentation
- Export and import timecard data between timecard and payroll software
- Review and enter labor allocations from timecards
- Prepare terminations and check adjustments
- Respond to employee inquiries regarding payroll checks and deductions
- Coordinate with HR to maintain accurate employee data
- Process monthly union fringe reports for payment
- Develop, receive, review, and process departmental, state, and federal mandate information and statistical reports
- Verify report and record accuracy and maintain accurate records
- Coordinate year-end processes
- Maintain confidentiality of payroll information
- Perform other duties as assigned
Requirements
What you’ll need- Understanding of union/non-union and prevailing wage
- Flexibility to deal with changing priorities and timelines through analytical problem solving
- Time management and follow-through skills; ability to manage multiple tasks with tight deadlines
- Current knowledge of applicable federal and state wage and hour laws and taxation
- Ability to work independently and in a collaborative team-oriented environment
- Ability to handle multiple tasks, set priorities, and meet deadlines in a high-volume, fast-paced environment
- Superior written and oral communication and effective listening skills
- Professional interpersonal demeanor and ability to work with diverse personnel
- Previous high-volume, multi-state payroll experience, particularly in California, Nevada, and Arizona, with a medium to large-size company
- Minimum 5 years of union/prevailing wage payroll experience
- Bachelor's degree in business or accounting preferred
- CPP certification preferred
- Experience in a high-volume environment
- Proficiency with Microsoft Word and Excel
- Ability to meet the stated physical requirements, including lifting up to 25 pounds occasionally
